Scheduling Appointments:

  • Morning Slots: Best suited for preschool children and those needing extensive treatments. Fresh mornings often lead to more comfortable experiences.
  • School and Appointments: Dental visits are excused absences. With regular dental care, missed school days are minimal.
  • Rescheduling: Life is unpredictable. If you can’t make it, please inform us 24 hours in advance, allowing us to serve other Gainesville families.

Financial Clarity:

Transparent Transactions Every Step of the Way
  • Immediate Payments: Payments are due at the time of service. We accept various modes, including cash, checks, and major credit cards.
  • Insurance Dynamics: We’ll assist with your claim if we have the necessary details. However, any balance after 30 days is your responsibility, regardless of insurance status.
  • Refunds: Once insurance has settled the claim, we’re happy to process any necessary refunds to you.
  • Delayed Payments: If you haven’t cleared your balance within 90 days, a re-billing fee of 1.5% will be added to your account monthly until fully paid.
  • Collection Policies: Balances 90 days past due will be handed over to an external collection agency. Such accounts will incur a $50.00 collection fee and a 1.5% re-billing fee of the original total due.

Understanding UCR and Your Benefits

Insurance companies often reimburse at rates lower than a dentist’s fee, citing that the fee exceeds their “usual, customary, or reasonable” (UCR) rates. This might suggest that fees higher than what the insurer pays are unreasonable. However, this is misleading.

Each insurance company determines its own UCR rates, often based on outdated data. These rates are set to ensure the company’s profitability, sometimes aiming for a 20%-30% profit margin. It’s essential to recognize that a lower reimbursement doesn’t mean your dentist is “overcharging.” Instead, it often indicates that the insurance’s benefits or UCR rates are on the lower side.

  • Insurance’s Role: Dental insurance is an aid. Many patients think that their insurance pays 90%-100% of all dental fees. This is not true! Most plans only pay between 50%-80% of the average total fee. Some pay more, some pay less. 
  • Benefit Variations: Each plan is unique. The percentage paid is usually determined by how much you or your employer has paid for coverage or the type of contract your employer has set up with the insurance company.
  • Co-Payments Reality: Most plans don’t cover the entire treatment cost. Deductibles and copayments are due during your child’s appointment.
  • Our Assistance: We’ll file your insurance claim as a courtesy. But remember, the contract is between you, your employer, and the insurer.

Navigating Deductibles & Co-Payments

When determining dental benefits, it’s crucial to account for deductibles and co-payment percentages. For instance, if a service costs $150 and the insurance’s UCR rate matches this, you’d first subtract a typical deductible (e.g., $50), leaving $100. If your plan covers 80% of this amount, the insurance would pay $80. This means you’d be responsible for the remaining $70. If the UCR is lower or coverage is only 50%, your out-of-pocket cost would be higher.
